Order Management System

The Client

Our client operates a medical supplies company that ships supplies directly to doctors' offices. Located in Canada with multiple warehouses, the client ships multiple types of inventory for various vendors to customers througout the United States.

The Problem

Without technology in place, it became difficult to manage, monitor, and control inventory levels for each product across all warehouses. Communicating with the warehouses in the United States from offices in Canada to deliver order requirements and shipping information was tedious and time consuming.

The Solution

The Qrimp team built a customized order management system that allows the client to maintain 3 groups of users: The Warehouse Staff, Order Entry Staff, and an administrator who has access to the entire system.

The order entry group enters orders for customers who receive items from a particular vendor. Inventory items are added to the order and once submitted the order is sent to each warehouse containing items in that order. The warehouse staff only sees the items for the order that are stored in their warehouse.

When the warehouse staff logs in, they see a list of new orders ready to be shipped. Internal messaging systems allow them to communicate order information and details with the office staff. When the order is packed and ready, the warehouse team prints out the packing list to include in the shipment. When UPS, FedEx, or DHL picks up the shipment, the warehouse team enters the tracking information. Real time inventory levels are maintained and reported to the office. Inventory audits, performed monthly, allow all team members to keep an accurate record of inventory levels.

Back in the office, when an order has shipped, the management team can quickly click a link to go directly to the shipping website to monitor shipments and tracking information for individual orders without ever having to type in a tracking number.

The Process

The Qrimp team discussed the project several times over the phone, conducting online demonstrations to gather feedback about the workflows and security options within the application. Beginning with an initial conversation about the needs, and concluding with a final demonstration, the entire process took about a month and 15 hours of custom work.

The Delivery

The project was delivered on-time and on-budget. The client can now communicate order information with the Warehouse staff easily and efficiently.
